The Association of Moraine Communities is a not-for-profit community association serving Ambleton, Starling, and North Evans Land in Northwest Calgary. We respect your privacy and handle personal information in accordance with Alberta’s Personal Information Protection Act (PIPA) and, where applicable, Canada’s PIPEDA.
1) What this policy covers
- Our website at morainecommunities.ca and pages built with GoDaddy Websites + Marketing.
- Forms we embed or link to (e.g., Zeffy membership/donations, volunteer sign-ups, contact/concern forms, surveys).
- Member accounts if you register for any members-only area.
Linked services (e.g., Zeffy, payment processors, maps, calendars, social media) have their own privacy policies.
2) Personal information we collect
Information you provide directly
- Membership & donations: name, address, email, phone (optional), household/community details, membership tier, donation amount, volunteer interests, communication preferences.
- Payments: card/wallet/ACH/PAD details are collected by Zeffy and its payment partners; we do not receive full card or bank numbers.
- Interac e-Transfer (if used): we receive your name, email, amount, and any memo you include; we do not access your banking portal.
- Contact, concern & survey forms: the content you submit and any attachments.
- Member accounts (if enabled): name, email, password (hashed), and profile fields you choose to share.
Information collected automatically
- Basic site logs/analytics (IP address, device/browser type, pages visited, timestamps).
- Cookies or similar technologies placed by us or our providers (e.g., GoDaddy, Zeffy, embedded widgets) to keep you signed in, remember preferences, and measure usage.
3) How we use your information
- Membership administration: set up/renew memberships, process payments, issue receipts, manage eligibility and voting, maintain a member registry.
- Programs & events: registrations, schedules, reminders, and volunteer coordination.
- Advocacy & community concerns: track issues you report; compile aggregated, de-identified insights for discussions with the City and partners.
- Communications: newsletters, AGM notices, surveys, and responses to your inquiries (you can opt out of non-essential emails).
- Operations & compliance: bookkeeping, audits, insurance, fraud prevention, and legal requirements.
- Website experience: security, troubleshooting, analytics, and improvements.
4) Legal bases / consent
We rely primarily on your consent (e.g., submitting a form, opting into emails). We also process information to fulfill a membership/transaction, to comply with law (e.g., financial record-keeping), and for legitimate interests in operating a safe, effective association.
5) Sharing your information
We share only what’s necessary with:
- Service providers: website host/builder (GoDaddy), membership & payments (Zeffy and its payment partners), email/survey/file tools we may use from time to time, and IT support.
- Volunteers/Board members who need limited access to perform their duties (bound by confidentiality).
- Advisors/authorities (legal, accounting, audit) when required by law or to protect our rights.
We do not sell personal information.
6) International transfers
Some providers may store or process data outside Alberta/Canada (e.g., the United States). We select reputable vendors and use contractual safeguards where appropriate.
7) Cookies & analytics
Our site and embedded services may use cookies or similar technologies to operate the site, remember preferences, and understand aggregate usage. You can control cookies in your browser; blocking some cookies may affect site features.
8) Retention
We keep personal information only as long as needed for the purposes above and to meet legal, audit, or insurance obligations. Typical retention for membership and financial records is up to 7 years after the end of the fiscal year. When no longer required, we securely delete or anonymize data.
9) Security
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information (role-based access, HTTPS, reputable processors). No system is perfectly secure; please use strong, unique passwords for any member account.
10) Your choices & rights
Subject to legal exceptions under Alberta PIPA, you may:
- Request access to your personal information and corrections for accuracy.
- Withdraw consent to optional uses (e.g., newsletters) at any time.
- Request deletion where we no longer need the data (if permitted by law).
To make a request, email privacy@morainecommunities.ca with “Privacy request” in the subject. We may need to verify your identity. We aim to respond within 30 days.
11) Children’s privacy
We don’t knowingly collect children’s personal information without a parent/guardian’s consent. If you believe a child provided data without consent, contact us and we’ll remove it.
12) Third-party links & embeds
Links or embeds (e.g., Zeffy forms, maps, calendars, social media) are operated by third parties with their own privacy practices. Review those policies before submitting information there.
13) Changes to this policy
We may update this policy to reflect changes in services or law. The “Effective date” above shows the latest version. Material changes will be highlighted on this page.
